Position Description:
- These are full time positions reporting to the Facility Manager. These individuals will be responsible for contract administration, coordination, monitoring and reporting. They are to support contract negotiations between the Facility Manager and service providers and to monitor contracted deliverables against the Facility M&E Framework and MC Performance Assessment Framework.
- The positions will be based in Jakarta with frequent travel to project sites.
- The Activity Coordinators should hold degree in a discipline related to natural resource management and/or business and management. The individual should have at least 5 years work experience in the Overseas Development Sector with demonstrated experience in contract management. AusAID experience would be considered an advantage.
- It is expected that the Activity Coordinators will be an Indonesian national and must be able to work in English.
- Assist in contract preparation for local, regional, and international consultants and organizations for the Facility.
- Monitor the status of contract implementation and performance against the Facility M&E Framework, Performance Assessment Framework and other Facility Guidelines (ie Environmental Management Plan and Gender Development Framework).
- Under the supervision of the Facility Manager:
- Manage service provider contracts including, review of sub contracts, procurement of sub-contractors for specified activities, ensure quality reporting, monitoring of contracted activities and convening service provider meetings were necessary.
- Process contract payments, and monitor sub contract acquittals against the basis of payment, and budget monitoring.
- Process all financial and contract records according to the established Imprest Management System guidelines.
- Manage contract administration activities and maintain the company filing system in accordance with AusAID requirements.
- Training and development of IAFCP/ KFCP administration staff.
- Liaise, coordinate and provide logistical support to AusAID’s Technical Advisors and Officials from the Government of Indonesia.
- Support the Kalimantan Forests and Climate Partnership (KFCP) Office in Palangka Raya and provide ongoing support to staff in these offices in various areas including contract management of all service providers.
- Check disbursement, verify accuracy of calculations and completeness of supporting documents.
- Maintain and carry out local and international procurement for goods and services.
